Check In Procedure

Who:  All Field Personnel

 

Purpose:        To ensure that all individuals in the field are accounted for at the end of each day.

To ensure that individuals out on after hours calls are safe at all times.

Estevan  Office (306) 637-2180.

 

Procedure:

When “Checking In”, provide the following information to Office Personnel or Answering Service:

1.Company name, your name(s), and contact phone number.

2.Location you are at, or may be going to before heading home.  If you are going to multiple locations before leaving the field, list them in order.

3.Estimated time before leaving field location, estimated time of arrival in Estevan (or home), and the route you will take.

4.Note:  If you get a service call after you have checked in, you must call-in and let the office or answering service know your new destination, then follow the applicable procedure below.

5.The check-in times listed below are the minimum.  If any employee feels they are working in an unsafe location, or are the only worker on site and don’t feel secure, they can choose to call in every hour at their discretion.

A) Monday to Friday, Not Including Stat Holidays:

1.Everyone who normally leaves town, must check-in with the Office Personnel when returning to town.

2.If not back in town before 4:30 PM, each truck must check-in with the Office Personnel giving a current location, any other locations you may be going to before heading home (if you are going to multiple locations before leaving the field, list them in order), and an estimated time of return.  The office will then inform the Estevan Answering Service of who is still out in the field and the provided locations.

3.After 5:00 PM, each truck must check-in with the Estevan Answering Service every hour on the hour, giving a current location, any other locations you may be going to before heading home (if you are going to multiple locations before leaving the field, list them in order), an estimated time of return, and the route you will take back to Estevan (or home).  Once back in Estevan (or home), you must let Answering Service know you are no longer in the field.  NO EXCEPTIONS.

B-1) Weekend, Stat Holidays and Late Call-Outs for Two Man Trucks:

1.All Two-Man Trucks working on weekends, stat holidays or late call-outs, must check-in with the Estevan Answering Service when leaving town, giving the location you are heading to (if you are going to multiple locations list them in order), and if known, the Operators name and phone number.

2.When returning to town before 5:00 PM, all crews must check-in with the Estevan Answering Service before going home.

3.After 5:00 PM, each truck must check-in with the Estevan Answering Service every hour on the hour, giving a current location, any other locations you may be going to before heading home (if you are going to multiple locations before leaving the field, list them in order), an estimated time of return, and the route you will take back to Estevan (or home).  Once back in Estevan (or home), you must let Answering Service know you are no longer in the field.  NO EXCEPTIONS.

1.All Single-Man Trucks working on weekends, stat holidays or late call-outs, must check-in with the Estevan Answering Service before leaving town, giving the location you are heading to (if you are going to multiple locations list them in order), and if known, the Operators name and phone number.

2.Thereafter, you must check-in with the Answering Service every hour on the hour, giving a current location, any other locations you may be going to before heading home (if you are going to multiple locations before leaving the field, list them in order), an estimated time of return, and the route you will take back to Estevan (or home).  Once back in Estevan (or home), you must let Answering Service know you are no longer in the field.  NO EXCEPTIONS.

 

 Notes:

A.In the event of bad cell phone coverage:

1.BEFORE leaving the coverage area, inform the Estevan Answering Service of your location, destination, and the approximate time  that you will be out of the area and unable to contact them.

2.Have a set time that you will contact them.

3.At this pre-arranged time, you must make every effort possible to contact the answering service.

B.The term ‘town’ above may also mean ‘home’ for personnel taking vehicles home.
